Sponsorship Coordinator
Time: Full-time, only local Boise candidates will be considered.

Position Summary
Our team is growing! Seeking a scrappy, quick-thinking and organized Sponsorship Coordinator to help create a great flow of sponsorships throughout the year.
The Sponsorship Coordinator supports Duck Club Entertainment and Treefort Music Fest’s sponsorship and brand partnerships program by handling the administrative work required to keep sponsor accounts, deliverables, timelines, and communications organized and on track. This role is primarily administrative, with roughly 75% of time focused on coordination, documentation, tracking, and internal support, and 25% focused on sponsor activation support and on-site execution.
This is a strong fit for someone who is highly organized, detail-oriented, calm under deadline pressure, and interested in building a career in music festival partnerships, event marketing, or sponsorship sales.

Key Responsibilities
Administrative and Coordination Duties (Approximately 75%)
- Maintain sponsorship trackers, account status documents, asset logs, contract status, invoicing trackers, and fulfillment timelines
- Support the partnerships team with proposal preparation, sponsor recaps, pitch materials, and presentation formatting
- Organize sponsor records including agreements, benefits, key dates, deliverables, and internal notes
- Track sponsor inventory across festival assets such as signage, digital placements, on-site activations, tickets, hospitality, social media, email, and branded content
- Coordinate collection of sponsor assets including logos, ad creative, legal copy, promotional language, approvals, and deadlines
- Assist with sponsor communications, follow-up emails, meeting notes, agendas, and status updates
- Build and maintain internal fulfillment documents so marketing, operations, production, and guest experience teams clearly understand sponsor commitments
- Help manage sponsor credential requests, ticket allocations, parking needs, and hospitality details
- Support recap development by gathering post-event metrics, photos, screenshots, attendance figures, and proof-of-performance materials
- Keep shared files, folders, and project management systems current and organized
Activation and Execution Duties (Approximately 25%)
- Support planning and execution of sponsor activations on festival grounds
- Assist with sponsor load-in preparation, signage placement coordination, hospitality setup, and activation readiness checks
- Serve as support for sponsor contacts on-site by helping troubleshoot issues and communicating with internal teams
- Help ensure sponsor assets are displayed correctly and contractual benefits are delivered during the festival
- Assist in documenting activations through notes, photos, and proof-of-performance collection
- Support teardown, inventory checks, and post-event wrap-up related to sponsor areas
Qualifications
- 1–3 years of experience in administrative support, events, partnerships, marketing, account coordination, or sponsorship preferred
- Strong organizational and time-management skills
- High attention to detail and ability to manage many moving parts at once
- Professional written, verbal communication skills
- Comfortable working in spreadsheets, slide decks, shared drives, CRM tools, and project trackers
- Able to work effectively in a fast-paced festival environment with shifting priorities
- Willingness to work evenings, weekends, and festival dates as required
- Interest in live events, music, entertainment, brand partnerships, or festival operations preferred
Preferred Experience
- Experience supporting event sponsorships, brand activations, or account management
- Familiarity with festival operations, event production, or hospitality logistics
- Experience with sponsor recap reporting, deliverable tracking, or client-facing coordination
- Strong Excel, Google Sheets, PowerPoint, or Google Slides skills
